How We Work

CLIENT TEAMING PROCESS for Meetings and Retreats

Step 1: Sustain a working partnership with our client(s)

o        Clarify our mutual commitment to success, roles, relationship

o        Identify business, organizational and/or group goals and priorities

o        Agree on scope, services, tasks, deliverables, cost and terms

o        Check-in with client during and following the project

     OUTCOME: Working Agreement or Contract

Step 2: Collect & assess data

o        Initial contact(s) to outline client needs and issues

o        Planning and discussion with client (and team)

o        Interview participants and stakeholders for perspectives

o        Prepare and review high level meeting/project design

     OUTCOME: Review Summary findings; high level meeting design

Step 3: Design & develop your meeting

o        Develop full meeting design with agenda, discussion points, activities, presentations and training (optional)

o        Anticipate diverse perspectives and tough issues

o        Develop event plan with presentation, facility and logistical needs and responsibilities

     OUTCOME: Client review of meeting plan, agenda and expectations

Step 4: Prepare the meeting and the people

o        Provide checklist(s) for room(s), work materials, breaks, communication and technology needs

o        Prepare participant communication checklist and/or materials

o        Engage stakeholders with communication checklist and/or materials (optional)

o        Conduct additional research, interview or focus groups (optional)

          OUTCOME: Participants are more productive, focused and engaged

Step 5: Conduct & facilitate the group’s work

o        Objectively, openly, professionally lead and manage meeting, “A to Z”

o        Set the stage and coach for full participation and mutual respect

o        Keep the group’s work on track and moving toward objectives

o        Manage the human space and place for communication and creativity

o        Record the group’s work (e.g., flip charts, wall charts, graphics, documents)

o        Bring the meeting to a logical and emotional conclusion, next steps and feedback

          OUTCOME: Your meeting ends with results, direction and commitment, and is

          worth the “cost”

Step 6: Outcomes and debriefing

o        Prepare summary report or documentation

o        Debrief client; recommend improvements, options and next steps.

o        Follow-through and continuously improve

          OUTCOME: Client debriefing, summary report and continuous improvement
